Managing Staff Access on Social Media Platforms

Why Check Social Media Platform Access?

Managing who has access to your social media accounts is vital for several reasons:

  • Security - Unauthorized access can lead to data breaches, malicious activity, or hijacked accounts.

  • Brand Integrity - Ensuring only authorized personnel manage your social media helps maintain brand voice, consistency, and reputation.

  • Compliance - Many industries have specific regulations regarding data protection and social media usage (e.g., GDPR, HIPAA).

How to Check Social Media Platform Access

1. Facebook Business Page

  • In left hand column go to Settings: click on "Settings" > "Page Setup” > Page Access “View"

  • Review Roles: Check who has admin, editor, moderator, or advertiser roles.

  • Remove Unused Accounts: Revoke access for individuals who no longer require it.

2. Instagram

  • Access Settings: Go to your Instagram profile, tap on the menu icon, then "Settings" > "Account" > "Authorized Apps."

  • Review and Revoke Access: Check which third-party apps have access and revoke access for any unnecessary apps. You may have a social media schedular account here (e.g. Loomly, Hootsuite)

3. LinkedIn

  • Access Settings, then Manage Admins: Review current admins and remove any who no longer need access.

Best Practices for Managing Access

  • Regular Audits: Conduct periodic audits to ensure only current team members or trusted third parties have access.

  • Two-Factor Authentication (2FA): Enable 2FA to add an extra layer of security. Be aware that while this is an excellent added layer of security, it may prevent platform scheduling or trusted third party access.

  • Educate Team Members: Train employees on social media best practices and security protocols.

  • Monitor Activity: Keep an eye on login activity and review account permissions regularly.

NOTE: Social Media platforms will NOT send notices through their messaging service. They have direct access to the page. Those messages are spam. Delete and block them.

Effective management of social media platform access is essential for maintaining security, protecting your brand, and complying with regulations. By regularly reviewing who has access, removing unused accounts, and implementing best practices, you can safeguard your social media presence and ensure it remains a valuable asset to your business or organization.

Remember, proactive management today can prevent problems tomorrow. Stay secure and continue leveraging social media to achieve your goals.
